Creative Activity Participation Procedures
The safety of our participants and their families is our top priority, therefore, we have created specific procedures to assist us in remaining COVID-19 Secure and keeping the risk of transmitting COVID-19 to an absolute minimum.
Please take a moment to read this so you know what to expect when participating in one of our creative activities, what we’re doing to ensure the safety of our participants, and what we need you to do to assist in keeping everybody safe.
1. How are we keeping our participants safe?
a) We are keeping the number of participants low and adapting activities to ensure social distancing measures can be maintained.
b) We will not be using props, scripts, costumes or other resources in our activities for the time being.
c) We are ensuring all of our employees and practitioners are aware of our COVID-19 Secure procedures and are able to follow these.
d) We are providing hand sanitiser in all spaces for participants to use.
e) We are regularly cleaning our venues following each activity. This includes chairs, tables, and specific equipment used during the sessions.
f) We have completed COVID-19 Secure risk assessments and are reviewing them regularly to ensure we are following latest government and related industry COVID-19 Secure guidelines. (available on request)
1.1 In the event of postponement
The safety of our participants, their families, and our Creative Practitioners is our absolute priority. If it is not safe for us to deliver a creative activity for any reason we will postpone it. We will do our best to inform participants of any change to planned activities as soon as possible via email and telephone. Please check your emails regularly to see whether there has been a change to your scheduled activity.
2. How can you help to keep everybody safe?
Before you leave home
a) Find out where your activity is taking place and where the meeting point is.
b) Look at your email/text messages to see whether there has been a change to your scheduled activity.
c) Fill up a water bottle to bring with you. Please note, there will not be
anywhere to fill this up at the venue and we are unable to provide glasses during this time.
d) Please do not bring any items with you unless absolutely necessary. Bags and belongings must be kept to a minimum.
e) Remember, do not come to your activity if you are exhibiting any symptoms of COVID-19 or have been in contact with somebody who has contractedCOVID-19 or showing symptoms. Please follow the Government guidelines and inform Norwich Theatre as soon as you can.
Arriving at the venue
f) Please ensure you arrive at the designated meeting point on time.
g) As our buildings will be closed to the general public, those who are more than 10 minutes late will not be able to join the session.
h) Maintain safe social distance (2m) from other participants, parents and guardians whilst waiting.
i) Those aged 12 and over are asked to wear a face covering whilst waiting for the session to begin and moving around common areas.
j) If you are exempt from wearing a face covering please let us know.
k) The Creative Practitioner(s) running the activity will collect participants from the meeting point.
l) We are not able to provide any waiting spaces for participants or their
families before, during, or after activities.
m) If you wish to speak to a practitioner or an employee about our activities, please contact us by email in advance to arrange a time to do so.
During the creative activity
n) The creative practitioner running the session will brief participants on how the session will be run.
o) Follow any one way systems put in place.
p) Participants must use the hand sanitiser provided before entering the space.
q) Keep a safe distance (2m) away from other participants and the Creative Practitioner(s).
r) There will be 2m sections marked out within the space to assist with
s) If you and another participant are in a social bubble, please inform the Creative Practitioner(s) and work with them as much as you can.
t) Wearing a face covering during your creative activity is optional.
At the end of the session
u) Take everything with you before you leave. Anything left behind will be disposed.
v) Those aged 12 and over need to wear a face covering whilst leaving your activity and moving round common areas.
w) Creative Practitioners will return participants to the meeting point.
x) Parents and Guardians need to arrive on time to collect the participant. We are unable to look after participants for more than five minutes after collection time.
y) Maintain social distance and wear a face covering whilst waiting to collect.

This form should be filled in by the parent or guardian. Separate forms are required for each activity booked and for each child.
Take Part Activity Terms & Conditions
1. Norwich Theatre’s responsibility
a) Norwich Theatre will carry out Risk Assessments on all creative activities and ensure our activities and venues are Covid-19 Secure in line with the current UK Government guidelines.
b) Norwich Theatre will provide participants, parents/guardians with Creative Activity Participation Procedures.
c) Norwich Theatre reserves the right to amend and update any of our policies, terms and conditions, and risk assessments in line with the UK Government guidelines to ensure we remain a COVID-19 Secure setting.
d) The safety of our participants, their families, and our Creative Practitioners is our absolute priority. If it is not safe for us to deliver a creative activity for any reason we will postpone it. We will do our best to inform participants of any change to planned activities as soon as possible via email and telephone. Please check your emails regularly to see whether there has been a change to your scheduled activity.
e) All participant details will be kept on file for 21 days in line with NHS Test and Trace requirements.
2. Participant’s and parent/guardian’s responsibility
a) All participants, parents/guardians will adhere to and comply with our policies and procedures to ensure our venues remain COVID-19 Secure.
b) If any participant or parent/guardian is not willing to follow these procedures, this will jeopardise the participant’s place on the activity and may be asked to leave.
3. Contracted or showing symptoms of COVID-19
a) Anyone who has displayed COVID-19 symptoms in the 10 days prior to the activity is asked not to attend. This is in line with the Government’s Coronavirus advice.
b) If a participant, or families of participants develop symptoms, they
should request a free test as soon as their symptoms start.
c) Once a test is ordered, you will be asked by the NHS Test and Trace service to provide details of anyone who they have been in close recent contact with and please include your Norwich Theatre activity.
d) Norwich Theatre will issue credit to participants who miss any activity due to self-isolation.
4. Creative activity participation procedures
a) Participants, parents/guardians need to read the Creative Activity Participation Procedures before coming to the activity.
b) These procedures are important to follow to ensure the safety of our
participants and their families is maintained and our activities/venues remain COVID-19 Secure.
5. COVID-19 related changes to activities
a) In the event that we are unable to offer physical classes due to a COVID-19 outbreak, sessions will be replaced with online sessions where possible.
b) If online sessions are not possible, Norwich Theatre will attempt to provide an alternative delivery solution/date.
c) Norwich Theatre will issue credit for any session which is cancelled due to COVID-19 related reasons.
